Software switching cost calculator: savings after migration and time

A lower invoice is only part of the decision. Compare staying with switching, including seat costs, extra monthly work, migration and the period when both subscriptions remain active.

Enter your actual costs. The calculator shows monthly saving, total modeled cost and break-even. The sample below deliberately shows a switch that does not pay back within a year.

The example: a cheaper subscription can still cost more

The default example reduces software from 150 to 90 per month. One extra hour of work at a value of 40 reduces the monthly saving from 60 to 20. Eight migration hours plus an 80 fee create a one-time cost of 400.

The switch takes 20 months to break even. Over a 12-month comparison it is 160 more expensive after time value. These are illustrative inputs, not vendor prices or a recommendation about a particular product.

How the calculation works

Use costs you can actually avoid

Use flat costs for account-wide plans and per-unit prices for seats or locations. For a location-band package, enter its full account price as a flat cost rather than multiplying it by every location. Add required extras into the corresponding flat cost. Convert all prices into one currency yourself before entering them; this tool does not fetch exchange rates.

An annual equivalent is annual price divided by 12, but a non-refundable prepaid contract is not a monthly cash saving you can collect by cancelling. Check renewal dates, remaining obligations and refund terms separately. The model assumes constant monthly prices and the stated overlap cost.

Time value measures workload, not cash returned to your bank account. Downtime, feature gaps, data loss, taxes, discounts and uncertain usage changes need separate judgment.

What to test before accepting the saving

  1. Confirm the replacement covers the job you repeat each week.
  2. Include reporting, extra seats, API or usage costs you will actually need.
  3. Try a normal deadline in the replacement tool, not just a quiet trial week.
  4. Export essential data while you still have paid access.
  5. Keep confirmation that renewal has ended; cancelling a plan is not necessarily a refund.

This tool runs in your browser. Your entered prices and hours are not saved or transmitted. If existing analytics is available, it may record a generic tool-use event without your input values.

Questions before you choose

What if the replacement creates more work?

Enter the extra hours per month and the value of time. If that removes the recurring saving, there is no modeled break-even.

Does an annual subscription become a cash saving when I cancel?

Not automatically. Non-refundable prepaid amounts and remaining contract obligations must be considered separately. Use costs you can actually avoid.

Are my subscription prices stored?

No. The calculator processes inputs in your browser and does not store or transmit them. Generic analytics tool-use events exclude the entered values.
